Import templates
CRM import templates
Every export comes out in its own format. Pick where yours came from and where it's going, and get a free template that maps it column by column, plus an Excel file that builds the import file.
A CRM's own example file gives you its columns. These map your Apollo, ZoomInfo or Lusha export into them. Each CRM's file and row limits are on CRM import limits.

The problem
Five sources. Five names.
One field.
Every tool that sends you data names its columns its own way. Your CRM only has one name for each field, so someone has to translate every file.
And that's just job title.
Every team buys data in one tool, runs events in another, takes sign-ups in a third and sells in a fourth. Each one invents its own export. There's no standard format, and none is coming.
Lusha puts the whole name in one column.HubSpot wants first and last.
Apollo.io sends three phone columns.HubSpot has one Phone Number.
ZoomInfo sends Job Function, Management Level and Department.HubSpot has no field for them.
- A provider changes its export.Your formulas stop working.
Customizing each export doesn't fix it. You can pick and order the columns, but no provider merges or splits them, so it's still one column to one field.
The column that doesn't fit gets deleted. The second phone number gets dropped. The notes nobody has a field for never make it in.
So every file, you choose.
Speed
Import it as it is
Data lost
In within minutes, but whatever doesn't fit gets deleted, names stay unsplit and nothing is cleaned. The data you paid for doesn't make it in.

By-hand and Excel template times use the step times in our report, The cost of CRM data work, without the data provider steps. Verifying takes a few minutes; we count 5. CRM Formatter and Trails times are from running imports in Operelio. They push into HubSpot, Salesforce and Pipedrive; for other CRMs you import the file they make.

How to use a CRM import template
Start with the free Excel template: the same mapping Operelio runs, in a file you download. No account, and your data never leaves your computer.
- Pick where your export came from and the CRM it's going into, at the top of this page, and choose Get the template.
- On the template page, choose Download the Excel template.
- Copy your whole export and paste it at cell A1 of the file's Paste tab, header row included.
- Save the import tab as a CSV and import that file into your CRM.
- Up to 100,000 rows
- Excel for Microsoft 365 and Google Sheets
- Your data stays in the file
Each template page also checks your export first, in your browser: the columns the template reads and the rows your CRM would skip. Nothing is uploaded.

Questions
Before you download
Are the templates free?
Yes. All 168 templates and their Excel files are free to download, with no account and no card. The CRM Formatter is free too, on every plan, for all 8 CRMs.
Does my data leave my computer?
Not with the Excel template. It runs in Excel or Google Sheets on your own computer, so the file never comes to us.
Which versions of Excel does it work in?
Excel for Microsoft 365 and Google Sheets. Excel 2019 and older, Apple Numbers and LibreOffice can't run the formulas the template uses.
What if my export's columns don't match the template?
Use the CRM Formatter instead. Upload the file and it matches your columns to your CRM's fields for you, down to splitting a full-name column into first and last. Fix anything it got wrong on one screen, and the file comes out ready to import. The CRM Formatter is on every plan, including Free. Each run uses one job from your plan's jobs a month.
What if there's no template for my export, or my CRM?
The CRM Formatter maps any export from any tool, so you're never stuck waiting for a template. From Starter, save the mapping and reuse it on every file after. Using an in-house CRM or your own custom fields? Build a custom CRM template with your own field list and map straight to it.
How is this different from my CRM's own import wizard?
Your CRM's wizard imports first and tells you what went wrong afterwards, in an error file, once the rows are already in. The CRM Formatter checks your file against your own CRM before anything moves.
What this push will do
1 new contact looks like someone already in HubSpot by name and company, even though the email didn't match.
Fill-blank only fills empty fields on 5 contacts; existing HubSpot values stay as they are.
Every row is matched against the records you already have, by email for people. You see exactly how many rows are new, updated or not sent, anyone who looks like an existing contact under a different email, and any value your CRM won't accept. By default it only fills empty fields, so the data already in your CRM stays as it is. Nothing is pushed until you confirm. From Starter, into HubSpot, Salesforce or Pipedrive.
Can I stop doing imports altogether?
Yes, with Trails. Set it up once in about 30 minutes and every export that lands in its folder, uploaded, emailed in, sent by the API or picked up on a schedule, is cleaned, verified and mapped for your CRM. A new trail holds each push for you to review first, and an admin can let clean runs push on their own. Automated CRM import, from Starter.
Map it once. Or never again.
Run any export through the CRM Formatter, on every plan. Or set up a trail, and every file goes into your CRM automatically.
