One column kept in Notes

This template gives List Memberships no HubSpot field of its own. A HubSpot contact has no Notes field: imported with contacts and notes together, the text becomes a note on the contact.

The template writes them into Notes, each with its label, and leaves empty ones out.

  1. Open the Contacts page and select the contacts, or export by list, segment or tag.
  2. Click Actions, then Export selection.
  3. Choose the contact details to include and click Export.
  4. Download the file as CSV or Excel from your import and export activity.

  3. Save HubSpot Contacts import as a CSV.

Works in Excel for Microsoft 365 and Google Sheets. Excel 2019 and older, Apple Numbers and LibreOffice can't run the formulas this file uses.

Step 3Import into HubSpot
  1. On the Contacts page, click Add contacts in the top right and choose Import, or go to Data Management, then Data Integration.
  2. Click Import data, choose the advanced import for all objects, select Contacts and Notes and click Next.
  3. Upload your file, keep Create and update contacts as the import type, and click Next.
  4. Check the column mapping. Email is the unique identifier, and the Notes column goes to Note body. Click Next.
  5. Name the import, check the consent box and click Finish import.

Questions

Does email opt-in status transfer to HubSpot?

No. This template doesn't map Email Permission Status to a HubSpot property, and Constant Contact's export only includes it when Advanced Email Permissions are turned on. To keep unsubscribed people from getting emails in HubSpot, leave the Unsubscribed rows out of this file (filter the Contacts page by email status before you export) and import their email addresses on their own: a CSV with an Email column, imported as a "List of contacts to opt out of emails". HubSpot sets Unsubscribed from all email to true for those addresses, and any that aren't contacts yet are not created as contacts or counted toward your billable contacts. To keep those addresses out of files you run later, add them to your Do Not Contact list in Operelio, on Starter and up: the CRM Formatter screens every file against it.

Where does Constant Contact's export fill Email, which HubSpot requires?

Email comes from Constant Contact's Email column, lowercased. The checker above counts the rows with Email blank.

Where does List Memberships go?

Into one note on each contact, labeled like "Lists: Customers, Events 2026". Importing the same contacts again adds a second note.
