How to import Calendly data into Salesforce Leads
Import your Calendly invitees into Salesforce. Maps name, email, phone, and event type to Salesforce lead fields. One thing to know before you start: Salesforce requires Company on every lead, and Calendly's default booking form doesn't ask for one. The section below shows you how to handle that.
Field-by-field mapping
This is the complete column mapping from Calendly to Salesforce Leads. The left column is the header in your CSV export. The right column is the Salesforce Leads field it should map to.
Before you start
This template's destination has a required field that needs attention before upload. You can still use this template. The steps below tell you what to add and where.
- Company
Salesforce requires Company on every lead. Calendly's default booking form doesn't ask invitees for a company name.
What to do. Add a Company question to your Calendly booking form (the easiest fix going forward), and for this export, add a Company column to your CSV with a placeholder like 'Calendly Booking' before importing.
| Invitee First Name | First NameFirstName | |
| Invitee Last Name | Last Name*LastName | |
| Invitee Email | Email TransformLowercased and trimmed | |
| Text Reminder Number | Phone TransformStandardized to international format (+1, +44, etc.) | |
| Event Type Name | Lead SourceLeadSource The booked event type, stored in Lead Source so reps see what the invitee booked from. |
Required by Salesforce Leads.
Calendly exports vary based on questions added to event types. The core fields (name, email, phone, event type, time) are consistent.
Columns we don't use
Your Calendly export includes 3 columns this template doesn't map. Each one below explains why, plus the workaround if you want the data in Salesforce Leads.
- Start Date & Time
Salesforce Leads don't have a built-in 'booked meeting time' field, and CreatedDate is set by Salesforce on import. There's no native home for the Calendly start time.
If you need it. If meeting times are useful context, create a custom date-time field in Salesforce called Calendly Booking Time, then map this column to it.
- Invitee Time Zone
Salesforce Leads don't have a time-zone field by default.
If you need it. Add a custom field in Salesforce if your reps need to see the invitee's timezone before calling.
- Response 1
Calendly's custom-question responses depend on the booking form. There's no consistent default home on a Salesforce lead.
If you need it. If Response 1 is always the same question (e.g. Company), map it to the Company field in the column-mapping step before download. Otherwise add a custom field on the Salesforce Lead for the question.
Formatting and cleanup
Calendly exports rarely match the format Salesforce Leads expects. Fix these before you import.
- 1.Lowercases and trims email addresses
- 2.Standardizes phone numbers to international format (+1, +44, etc.)
- 3.Stores Event Type Name in Salesforce's Lead Source field
Or skip the manual work
Operelio runs this cleanup and mapping for you. Upload your Calendly export and download a clean, import-ready file for Salesforce Leads.
Calendly to Salesforce Leads FAQ
How do I export scheduled events from Calendly?
Go to your Calendly dashboard, select Scheduled Events, filter by date range and event type as needed, and click Export.
Why does Event Type Name go into the Lead Source field?
Salesforce Leads don't have a default event field. Lead Source is the next best home for it, and your reps can filter and report on which event type each lead came from.
What if Company is not captured in the booking form?
The 'Before you start' banner above explains the two fixes: add a Company question to your Calendly form for future bookings, and for this export, add a Company column to your CSV with a placeholder before importing.
Does this include canceled bookings?
The default Calendly export includes scheduled events only and excludes canceled bookings.
What about custom questions beyond the event type?
Calendly exports custom question responses as Response columns, but this template maps contact fields and event type only. Add response columns manually in Operelio if needed.
