How to import Salesforce data into HubSpot

Switching from Salesforce to HubSpot? This template maps 13 Salesforce lead fields to HubSpot contact properties. Description lands in the Notes property so reps see the original context. Lead Source has no native home on a HubSpot contact, so it lands in the Columns we don't use section with a workaround.

Field-by-field mapping

This is the complete column mapping from Salesforce to HubSpot. The left column is the header in your CSV export. The right column is the HubSpot field it should map to.

Maps directly to HubSpot's Notes property. Salesforce descriptions are free-text internal notes, so a rep importing the lead sees the original Salesforce context in the contact's Notes.

Columns we don't use

Your Salesforce export includes 1 column this template doesn't map. Each one below explains why, plus the workaround if you want the data in HubSpot.

Lead Source

HubSpot doesn't have a single Lead Source field that matches Salesforce's. HubSpot tracks acquisition through the hs_analytics_source family of properties, which HubSpot derives from page-view tracking and aren't directly importable from a CSV. Salesforce's Lead Source is a hand-set picklist (Web, Referral, Trade Show), which is a different shape.

If you need it. Create a custom contact property in HubSpot called something like op_sf_lead_source, then open this template in Operelio's column mapper and route Lead Source to your new property. Or accept the lossy migration and re-populate Lead Source in HubSpot through a follow-up sync.

Formatting and cleanup

Salesforce exports rarely match the format HubSpot expects. Fix these before you import.

  1. 1.Lowercases and trims email addresses
  2. 2.Standardizes phone numbers to international format (+1, +44, etc.)
  3. 3.Maps the Salesforce Description directly to HubSpot's Notes property so reps see the original context
  4. 4.Renames Salesforce's 'Zip/Postal Code' to HubSpot's zip field

Or skip the manual work

Operelio runs this cleanup and mapping for you. Upload your Salesforce export and download a clean, import-ready file for HubSpot.

Salesforce to HubSpot FAQ

How do I export leads from Salesforce?

Create a Leads report in Salesforce with the fields you need, then click Export > CSV. You can also use Setup > Data Export for a full org export.

Where does Lead Source land in HubSpot?

HubSpot doesn't have a single Lead Source property that mirrors Salesforce's. The Columns we don't use section below covers the workaround: create a custom contact property in HubSpot (something like op_sf_lead_source) and re-run this template to route Lead Source there.

What happens to the Description field?

Salesforce's free-text Description maps directly to HubSpot's Notes property so reps see the original context on each contact. If you want it as a multi-line property for sorting and filtering, create a custom HubSpot property called Imported Description and re-run this template.

Can I migrate Salesforce Contacts instead of Leads?

This template maps Salesforce Lead fields specifically. Salesforce Contacts use different field names (e.g. AccountId instead of Company) and require a separate template.

Will custom Salesforce fields transfer?

This template maps the 13 standard fields listed above. Custom Salesforce fields appear in the export but need manual mapping in Operelio to reach HubSpot.

What about Salesforce activities, tasks, and notes?

This template handles lead records only. Activities, tasks, notes, and email history don't export in the leads CSV. Use a dedicated migration tool if you need full activity history.

Will this create duplicates in HubSpot?

HubSpot uses email as the unique identifier. Contacts with matching emails update the existing record. New emails create new contacts.
