Instant quality score

A single 0–100 score based on the severity and spread of issues in your rows. 80 or above is ready to import. 60 to 79 is worth reviewing first. Below 60 means fix the data before pushing it to a CRM.

Duplicate and similarity detection

Exact duplicates. Similar rows at 90%+ and 85–89% match. Similar company names like Westmarch Trading and WESTMARCH TRADING. Duplicate emails and phones. Each group lists every affected row, not just the first match.

Email and contact validation

Validates email and phone formats. Flags disposable email domains. Detects mixed email patterns within the same company (john.smith@ vs jsmith@). Spots contact-name mismatches like "Dave Lee" with email "david.smith@".

Formatting and consistency

Mixed date formats, inconsistent casing, extra whitespace, placeholder values (N/A, TBD), country and state variants, broken characters from bad encoding, and mixed types in a single column.

Structure and completeness

Blank or duplicate column headers. Empty rows. Cut-off values where data was truncated on export. Constant columns that carry no information. Statistical outliers in numeric data.

Your original file, untouched

Health Check reads your file. It never overwrites it. Apply Fixes generates a separate cleaned file. The original sits in your history exactly as you uploaded it.

A handoff to CRM Formatter

After applying fixes, send the cleaned file straight to CRM Formatter to map it to HubSpot, Salesforce, Pipedrive, or one of five other CRMs. Direct push covers HubSpot, Salesforce, and Pipedrive on Pro.

Do Not Contact flags

On a paid plan, Health Check flags rows that are on your workspace's Do Not Contact list (uploaded suppression entries and blocked countries) so you can review them before you send. It flags, never drops, and costs no credits.

What does Health Check look for?

It runs 40+ checks grouped into categories: duplicates (exact and similar rows, similar company names), blanks and missing data (empty rows, empty and mostly-empty columns, rows with missing cells), email validation (invalid formats, duplicates, disposable domains, mixed domains within the same company), phone numbers (inconsistent formats, duplicates), formatting (mixed date formats, inconsistent casing, extra whitespace, placeholder values like N/A or TBD), data types (mixed types in the same column, statistical outliers), geographic consistency (country and state variants like US vs USA vs United States), and structural issues (blank or duplicate headers, columns with cut-off values, formula prefixes).

What is the quality score?

A number from 0 to 100 based on the severity and spread of issues found. Each row is scored individually, then the scores are averaged and adjusted for how widespread the problems are. 80 or above means ready to import. 60 to 79 means worth reviewing before you push to CRM. Below 60 means fix the data first. Every issue is tagged as high, medium, or low severity.

Will it change my original file?

Health Check never modifies your file. It reads your data and shows you what it found. If you choose to apply fixes (a Pro feature), Operelio creates a separate cleaned file. Your original upload is always preserved.

Which issues can Operelio fix?

On Pro, Team, and Agency plans you can apply one-click fixes. Remove exact duplicates, similar rows (90%+ or 85–89% match bands), and duplicate phone rows. Trim whitespace, clear placeholders, standardize dates, standardize phone formats, standardize country and state names, fix casing, repair broken characters, strip formula prefixes, unify similar company name variants, standardize email domains and name formats across the same company, remove disposable email rows, remove blank rows, and drop empty or mostly-empty columns. Select what you want fixed and Operelio generates a new cleaned file.

What about issues it can't fix?

Some issues like invalid email addresses, blank cells, and type mismatches are flagged for manual review because they need human judgment. The report tells you exactly which rows are affected so you can fix them quickly. Operelio also has standalone tools for bulk find and replace, advanced deduplication with adjustable thresholds, and filtering out rows that don't meet your criteria.

What happens after I apply fixes?

Operelio generates a new cleaned file and re-runs Health Check on it so you can see your updated score. For email domain or name format conflicts where there's a tie, you choose which format to standardize to before applying. After fixes, you can download the cleaned file or send it straight to the CRM Formatter for import into HubSpot, Salesforce, or Pipedrive.

What file format will I get back?

On Free, you get a CSV report with an Issues column at the front. On Pro, Team, and Agency, you can choose CSV or annotated Excel. The Excel report colors the text in each row by its highest-severity issue: red for high, amber for medium, green for low. Apply Fixes always returns the file in the same format you uploaded.

Why do I see only the first 50 examples?

The report page shows the first 50 example groups per category to keep things readable. The downloadable report file lists every row affected. Apply Fixes also operates on every detected issue, not just the first 50.

Can I send the cleaned file straight to my CRM?

Yes. After applying fixes, click "Send to CRM Formatter" from the results page. Operelio carries the cleaned file across, where you map columns to HubSpot, Salesforce, or Pipedrive fields and push directly. CRM push requires Pro, Team, or Agency.
