How to import HubSpot data into Zoho Leads

Moving from HubSpot to Zoho? This template maps 8 fields including name, email, phone, company, and title to Zoho's lead properties. Zoho requires both Last Name and Company on every lead, and HubSpot doesn't require either, so contacts may have blanks. The Before you start section below explains how to handle both.

Field-by-field mapping

This is the complete column mapping from HubSpot to Zoho Leads. The left column is the header in your CSV export. The right column is the Zoho Leads field it should map to.

Before you start

This template's destination has 2 required fields that need attention before upload. You can still use this template. The steps below tell you what to add and where.

  • Last NameLast_Name

Zoho requires Last Name on every lead. HubSpot doesn't require it, so contacts often have blanks, especially older records or those imported from forms.

What to do. Before upload, fill any blank Last Name cells with a placeholder like 'Unknown' so every row passes Zoho's import validation.

  • Company

Zoho requires Company on every lead. HubSpot doesn't require it, so personal contacts often have blanks in Company Name.

What to do. Before upload, fill blank Company Name cells with a placeholder like 'Unknown'. Or bulk-edit Company in Zoho after import on the new leads.

Lifecycle StageLead StatusLead_Status

HubSpot's Lifecycle Stage maps to Zoho's Lead Status picklist. Add HubSpot's stage values to Zoho's Lead Status picklist before import so every row matches.

Lead StatusLead SourceLead_Source

HubSpot's Lead Status (e.g. 'New', 'Open Deal') maps to Zoho's Lead Source picklist. Adjust if your HubSpot Lead Status is closer to a Source value than a Status value.

Columns we don't use

Your HubSpot export includes 6 columns this template doesn't map. Each one below explains why, plus the workaround if you want the data in Zoho Leads.

Website URL

Zoho Leads doesn't have a built-in Website field on the standard layout.

If you need it. Add a custom URL field on the Zoho Lead called Website, then re-run this template to map it.

Street Address, City, State/Region, Postal Code, Country/Region

Zoho Leads doesn't have a Mailing address block on the standard layout. Those fields live on Zoho Contacts. HubSpot's address columns get dropped unless you add custom fields on the Lead.

If you need it. Add custom address fields on the Zoho Lead, or convert leads to contacts after import to capture the address block.

Formatting and cleanup

HubSpot exports rarely match the format Zoho Leads expects. Fix these before you import.

  1. 1.Lowercases and trims email addresses
  2. 2.Standardizes phone numbers to international format (+1, +44, etc.)
  3. 3.Renames HubSpot columns to Zoho's underscored API names (First_Name, Last_Name, Lead_Source, Lead_Status)
  4. 4.Maps HubSpot's Lifecycle Stage to Zoho's Lead Status, and Lead Status to Lead Source. Review and remap if your HubSpot setup uses these fields differently

Or skip the manual work

Operelio runs this cleanup and mapping for you. Upload your HubSpot export and download a clean, import-ready file for Zoho Leads.

HubSpot to Zoho Leads FAQ

How do I export contacts from HubSpot?

In HubSpot, go to Contacts, click the Actions menu, choose Export, select 'All properties' and CSV format, then download. HubSpot will email you the file when it's ready.

Why does Lifecycle Stage go to Lead Status and Lead Status go to Lead Source?

The HubSpot-to-Zoho mapping isn't one-to-one. HubSpot's Lifecycle Stage tracks where a contact is in your funnel (Lead, MQL, Customer), which lines up with Zoho's Lead Status (Contacted, Qualified, Lost). HubSpot's Lead Status often holds origin context like 'Open Deal', which is closer to Zoho's Lead Source. Review both values and remap in Operelio if your setup is different.

Zoho requires Last Name and Company. What if my HubSpot contacts have blanks?

The 'Before you start' banner above explains both: fill blank cells with 'Unknown' before upload, or bulk-edit in Zoho after import. Either keeps the import from rejecting rows.

What about HubSpot Companies and Deals?

This template handles Contacts only. HubSpot Companies map to Zoho Accounts, and HubSpot Deals map to Zoho Deals. Both require separate exports and different mapping templates.

Will this create duplicate leads in Zoho?

Zoho uses Email as the unique-value field on leads by default, so rows with matching emails update the existing record rather than creating a duplicate. You can change the match field in Setup, Data Administration, Deduplication if your team uses a different convention.
