How to import Calendly data into Pipedrive

Export your Calendly scheduled events and bring those invitees into Pipedrive. The two name columns combine into Pipedrive's single Name field, plus email and phone. Calendly's event type, scheduled time, and custom-question responses don't have a default Pipedrive home. The section below explains what to do with each one if you need it.

Field-by-field mapping

This is the complete column mapping from Calendly to Pipedrive. The left column is the header in your CSV export. The right column is the Pipedrive field it should map to.

Calendly exports vary based on questions added to event types. The core fields (name, email, phone, event type, time) are consistent.

Columns we don't use

Your Calendly export includes 4 columns this template doesn't map. Each one below explains why, plus the workaround if you want the data in Pipedrive.

Event Type Name, Start Date & Time

Pipedrive doesn't have built-in scheduled-event fields on contacts. Booking context typically lives on a Deal or Activity in Pipedrive's data model.

If you need it. Add custom fields on the Pipedrive contact (e.g. Event Type, Scheduled), or create a Pipedrive Activity per invitee to capture the booking details.

Response 1

Calendly's custom-question responses depend on the booking form. There's no consistent default home on a Pipedrive contact.

If you need it. If Response 1 is always the same question (e.g. Company), map it to org_name in the column-mapping step before download. Otherwise add a custom field on the Pipedrive contact for the question.

Invitee Time Zone

Pipedrive doesn't have a built-in time zone field on contacts.

If you need it. Add a custom text field on the Pipedrive contact called Time Zone, then re-run this template to map it.

Formatting and cleanup

Calendly exports rarely match the format Pipedrive expects. Fix these before you import.

How do I export events from Calendly?

In Calendly, go to your Scheduled Events page, click the export icon, select a date range, and download the CSV.

Why do you combine the two name columns?

Pipedrive contacts use a single Name field. The template combines Invitee First Name and Invitee Last Name with a space so each contact record displays correctly.

What if my booking form doesn't ask for a phone number?

Text Reminder Number is blank for invitees who skipped SMS reminders. Those rows still import; the phone field just stays empty for them.

How do I capture the event details in Pipedrive?

The event type and start time don't map to default Pipedrive fields. See 'Columns we don't use' below for the custom-field workaround, or create a Pipedrive Activity per invitee to track the booking.

Will this create duplicate contacts in Pipedrive?

Pipedrive's import dedupes on Name plus one of email, phone, or organization. A Calendly invitee matches an existing Pipedrive contact when the name and email both align. Invitees who booked under a different name spelling create a new contact even when the email matches.
