Where Cognism and HubSpot don’t line up

Four phone columns, two phone fields

Cognism splits numbers across Mobile, Direct, Office and HQ. HubSpot formats each one by its country code, so a number saved without one stays as it is.

The template sends Mobile to Mobile Phone Number. Phone Number takes the first of Direct, Office and HQ that has a value.

No lifecycle stage or lead status in the export

Cognism's export has no lifecycle stage or lead status column. In HubSpot, an import can move a contact's lifecycle stage forward but never back.

The template sets Lifecycle Stage to Lead and Lead Status to New on every row. Change either, or drop them, before you import if your process differs.

A list of industry values, one Industry field

Cognism can put several values in its Industries column, one after another. On a HubSpot contact, Industry is a text field, so a whole list would land as one value and every mix of industries would count as its own.

The template keeps the first value in the list.

Three columns kept in Notes

This template gives List Name, Seniority and Department no HubSpot field of their own. A HubSpot contact has no Notes field: imported with contacts and notes together, the text becomes a note on the contact.

The template writes them into Notes, each with its label, and leaves empty ones out.

Company details on every contact row

Many of the 75 columns in Cognism's export describe the company, not the person. HubSpot keeps company details on the Company record, and with Create and associate companies with contacts turned on, it builds the company from the email domain.

The template leaves out the columns that describe only the company, such as Company Alias, Company Address Line, Company City, Company Post Code/ZIP, Company County/State, Company Country and 1 more.

Cognism to HubSpot in three steps

Step 1Export from Cognism
  1. Run a Contact Search in Cognism, or open Lists and pick All Contacts, My Contacts or one of your lists.
  2. Use the checkboxes to choose Select Page, Select All or Custom Selection.
  3. Click the option to export the contacts as a CSV file in the toolbar at the top of the page.

You can export up to 10,000 contacts at once from Search, and up to 1,000 per action from All Contacts or My Contacts.

Exporting reveals any contact not yet revealed in the current contract period, and credits are used only for newly revealed contacts.

  2. Start here checks all 18 columns were found.
  3. Save HubSpot Contacts import as a CSV.

Works in Excel for Microsoft 365 and Google Sheets. Excel 2019 and older, Apple Numbers and LibreOffice can't run the formulas this file uses.

Step 3Import into HubSpot
  1. On the Contacts page, click Add contacts in the top right and choose Import, or go to Data Management, then Data Integration.
  2. Click Import data, choose the advanced import for all objects, select Contacts and Notes and click Next.
  3. Upload your file, keep Create and update contacts as the import type, and click Next.
  4. Check the column mapping. Email is the unique identifier, and the Notes column goes to Note body. Click Next.
  5. Name the import, check the consent box and click Finish import.

Where does Cognism's export fill Email, which HubSpot requires?

Email comes from Cognism's Email column, lowercased. The checker above counts the rows with Email blank.

Where do List Name, Seniority and Department go?

Into one note on each contact, labeled like "Cognism list: UK RevOps Q4 | Seniority: Head | Department: Operations". Importing the same contacts again adds a second note.

Does this template handle Cognism's Diamond Data mobile numbers?

Yes. Diamond-verified mobile numbers come through in the Mobile column and land on HubSpot's Mobile Phone Number field, so the verified mobile sits where your reps expect to find it.
