Head to head

Operelio vs Insycle: clean before import, or inside your CRM.

Operelio and Insycle both fix messy customer data, but at different moments. Operelio cleans a file before it reaches your CRM and hands you an import-ready file. Insycle connects to your CRM and keeps the records already in it clean, on a schedule.

The short version

Two tools, two moments.

Choose Insycle if

  • Your dirty data already lives in HubSpot or Salesforce and you want it cleaned in place, on a schedule.
  • You want fixes to fire inside HubSpot Workflows or Salesforce Flows the moment a record is created.
  • You run a large, busy database and ongoing per-record pricing is worth the hands-off hygiene.

Choose Operelio if

  • You clean lists and exports before they reach the CRM, and want a file it accepts first time.
  • You want flat monthly pricing that does not climb with your record count.
  • You work in spreadsheets, or across several CRMs, and want one place to clean, verify, and format.

Clean before import, or clean after

Operelio works one step before the CRM. You upload a messy export, standardize the headers, remove duplicates, verify the emails, and format the columns for HubSpot, Salesforce, or Pipedrive. What comes out is a file your CRM accepts first time. The push is always your own click.

Insycle works after the data lands. It connects to your live CRM and keeps the records already in it clean: merging duplicates, standardizing fields, and updating in bulk on a schedule. That is a real strength for data that arrives straight from reps, forms, or other tools and never passes through a spreadsheet. For a deeper look at the two approaches, see our guide on cleaning data before vs after a CRM import .

Pricing: flat versus per record

Operelio charges a flat monthly price and starts free, so the cost is the same whether your file has one thousand rows or fifty thousand. Insycle prices by record volume, roughly $1 to $2 per 1,000 records a month on annual billing, and its self-serve plans start at a 25,000-record band. A smaller database still pays at the 25,000-record rate, so the effective floor is about $25 to $50 a month. Verify current numbers on each site before you decide; ours are dated on this page for that reason.

For agencies and several CRMs

If you prepare lists for more than one client or push to more than one CRM, Operelio gives you one place to clean, verify, format, and screen against a Do Not Contact list, then send the file wherever it needs to go. Insycle bills per record for each connected system, which suits one busy database more than many small imports.

Where Insycle earns its keep

If your problem is an existing CRM full of duplicates and stale fields, and you want it cleaned and kept clean without anyone exporting a file, Insycle handles it. Its scheduled jobs and real-time hooks into HubSpot Workflows and Salesforce Flows do work Operelio does not try to do. Operelio is the better fit before the data lands; Insycle is the better fit once it has.

Questions

Insycle or Operelio: the common questions.

Is Operelio a replacement for Insycle?+

Not exactly, because they clean data at different stages. Operelio cleans a file before it reaches your CRM. Insycle keeps records clean after they land, on a schedule, inside the CRM. Plenty of teams could use both: Operelio for imports and one-off list work, Insycle for ongoing hygiene of a live database.

Does Insycle have a free plan?+

No. As of July 2026 Insycle offers a 14-day free trial that covers up to 500 records, and there is a separate free data-grader report. Operelio has a free plan you can use without a card.

How is Insycle priced?+

By record volume, at roughly $1 to $2 per 1,000 records per month on annual billing. The self-serve plans start at a 25,000-record band, so a smaller database still pays at the 25,000-record rate, around $25 to $50 a month depending on plan. Operelio is a flat monthly price that does not change with your record count.

Can Operelio clean data that is already in my CRM?+

Operelio works on files. Export the records from your CRM, clean and verify them in Operelio, then push the clean file back. It does not run continuously inside the CRM the way Insycle does.

Which CRMs does each one work with?+

Both work with HubSpot, Salesforce, and Pipedrive. Operelio also formats for Zoho, Monday, Freshsales, Close, and Copper, and the push to your CRM is always your own click.

Does Operelio verify email addresses?+

Yes. Operelio checks every address, flags the risky ones, and can rebuild missing addresses from a name and the file's own domain pattern. Insycle is a data-management tool and does not verify deliverability.
