Mappings you save and reuse

A mapping you build once is saved for the next file, or you can start from a ready-made one for sources such as Apollo, ZoomInfo, Shopify or Eventbrite.

Two columns can merge into one property, or the first filled of several can be used. A full name can split into first and last, and any property can take a fixed value on every row.

A report before you push

HubSpot's importer flags value errors on the mapping screen, where you can fix a value or skip it. Operelio works out what will happen to every row before the push.

Operelio checks each row against the records and properties in your HubSpot, matching contacts by email address and companies by website or name. Its report gives the reason for each skip and refusal, and a push you start by hand waits for your confirm.

Fields that already have a value

Both protect existing data, but they decide "empty" differently. HubSpot's "Don't overwrite" is set per property, and it also skips a field that is empty now if it ever had a value.

Operelio fills any field that is empty by default, including ones that were cleared. Overwrite is one setting for the whole push, not a choice per property.

Imports that run on their own

HubSpot's importer runs when you start it; an Operelio trail imports each new file by itself, on arrival or on a schedule.

Files reach the trail by upload, by email to its folder's own address or through the API (Pro and up). A schedule can run it every day, on weekdays, once a week or every 6, 8 or 12 hours. Each push lands as a HubSpot import, and a new trail holds it for approval.

Where HubSpot's importer is better

  • Comes with HubSpot

Every HubSpot account has it at no extra cost.
  • Bigger files

Paid accounts import up to 1,048,576 rows and 512 MB in one file.
  • Objects and overwrite control

It imports deals, tickets and other objects, and sets "Don't overwrite" property by property.

Questions

Does Operelio replace HubSpot's importer?

Yes, on Starter and up. Map with saved or ready-made mappings, merge or split fields, clean the file and see what will be created, updated, skipped or refused before you push. Trails can import each new file, with or without your approval. Each push lands as a HubSpot import.

Can I undo an Operelio push to HubSpot?

Yes. Each push is a HubSpot import, so HubSpot's restore tool can roll the records it changed back to a point within the last 14 days. It needs a Super Admin on a paid hub.

How many rows can HubSpot import at once?

Up to 1,048,576 rows per file on paid accounts and 500,000 on free ones.

Why did my HubSpot import create duplicate contacts?

Rows without an email or other unique ID are imported as new contacts, because HubSpot matches contacts on those fields.

Does Operelio link contacts to companies in HubSpot?

No. It creates and updates HubSpot contacts and companies but does not associate them. It links Salesforce contacts to accounts and Pipedrive people to organizations.
