Operelio vs Pipedrive's importer side by side
| Compared on | Operelio | Pipedrive's importer |
|---|---|---|
| What it is | Four jobs: a Pipedrive import with a report first, trails for lead flow and routing, Bridgeant AI cleanup and 17 cleanup and verification tools. | The spreadsheet importer built into every Pipedrive account. |
| Mapping fields | Mappings you save and reuse, or ready-made ones for sources such as Mailchimp. Values merge, split or combine into Pipedrive fields. | You map columns to Pipedrive fields on the import screen. |
| Objects | Pushes people and organizations, linking each person to their organization. A Notes column becomes a note on each new record. | People, organizations, leads, deals, projects, activities, notes and products. |
| Matching existing records | Checks every row first: people by email address, organizations by website or name. | Merges a person when organization, phone or email matches, and an organization when the address matches. You can skip merging. |
| Updating records | Matched records are updated. Blank fields are filled by default; overwrite is opt-in. | Needs the Pipedrive ID column in the file. Changed values in the file overwrite what is there. |
| Before anything is written | The report gives a reason for every skip and refusal, and flags people with no name, owners not in Pipedrive and likely duplicates. | A preview of how the data will look after import. |
| Repeat imports | Trails import each new file with your saved mapping, on arrival or on a schedule, after your approval or on their own. | You run each import from Pipedrive's import screen. |

Key differences
How duplicates are handled
Pipedrive merges; Operelio matches and never merges. Pipedrive's docs say it checks a person's organization, phone and email and merges when any of those three fields matches another person. Organizations are checked on address, and deals have no duplicate check. You can bypass merging and create separate records instead.
Operelio checks every row against Pipedrive before the push. A matched person or organization is updated in place and never merged; an unmatched row with an email becomes a new record unless you switch creating off.
Updating people you already have
Pipedrive updates existing records when the file carries the Pipedrive ID column, and changed values in those columns overwrite what is there.
Operelio finds the existing person by email, so a file from any source can update records without IDs.
Saved mappings and a cleaner file
Save a mapping once and reuse it on every file, or start from a ready-made one for sources such as Apollo, Mailchimp or Calendly. First and last name columns can merge into Pipedrive's single Name field, and any field can take a fixed value.
Pipedrive's importer takes the file as it is. Operelio dedupes it, fixes formats and runs the free email quality check before the push. Email verification (credits, Starter and up) checks that each address can receive mail.
Lists that keep arriving
Pipedrive imports one file when you start it. An Operelio trail runs the same mapping, cleaning, checks and push on each new file.
New files reach a trail through its folder: uploaded, emailed to the folder's own address or sent through the API (Pro and up). It can run every day, on weekdays, once a week or every 6, 8 or 12 hours. You choose whether each push waits for approval or clean runs go on their own.

Questions
Can I undo a Pipedrive import?
Yes. Global admins can revert an import from the import history tab within 48 hours.
How many rows can Pipedrive or Operelio import?
Pipedrive's importer takes up to 50,000 rows and 50 MB per file. An Operelio push takes up to 50,000 rows. Operelio pushes to Pipedrive accounts of up to about 100,000 people; above about 100,000 organizations, people go in without an organization link.
Is Operelio free?
Yes, for mapping and cleaning. 15 of 17 tools run on the Free plan, the CRM Formatter and its ready-made mappings included. Free is capped by volume: rows, jobs and file size. Pushing to Pipedrive, saved mappings, live trails and email verification start on Starter.
Does Operelio replace Pipedrive's importer?
Yes, for people and organizations, on Starter and up. Save a mapping or start from a ready-made one, merge or split fields, then see what will be created, updated, skipped or refused before you push. Trails automate it. Deals, leads and activities stay with Pipedrive's importer.
Can I update Pipedrive people without their IDs in the file?
Yes, with Operelio. It finds each person by email address and each organization by website or name, updates the match and fills only blank fields unless you choose overwrite. Pipedrive's importer needs the Pipedrive ID column to update records.
