Lead flow and routing

Operelio vs Zapier

Pick Operelio if leads from every source should flow in automatically: a trail runs each file through cleanup, verification, ICP filters and a CRM check, then routes contacts or companies, on arrival or on a schedule. Pick Zapier if leads arrive live from forms and other apps.

Cleanup and verification built in

A trail comes with the steps a lead flow needs; in Zapier you add each one to the Zap. A trail dedupes with exact, smart or similarity matching, fixes values, screens your Do Not Contact list, verifies emails (credits) and formats each row to your CRM's own fields.

Zapier's Formatter fixes values in each row, and a search step can look up a record before the create. Each is a step you set up and maintain.

One run per file, or one per row

An Operelio trail handles a file in one run; Zapier handles it row by row. Files by Zapier turns each CSV row into its own Zap run, and each successful action in that run is a task. A search step set to continue when nothing is found adds another task per row.

The plan price does not change with the row count within its limits. Email verification, if you add it, uses one credit per row checked.

A report and approval before the push

Before a trail writes anything, it shows what will be created, updated, skipped or refused, with warnings for values your CRM would refuse. You set the autonomy: hold every push for approval, or let clean runs send on their own. A run that would change a filled-in CRM value always waits.

Zapier's Human in the Loop can pause a Zap for a reviewer on paid plans; after a CSV is split, it asks once per row. On Operelio a dry run is free, and a test run never pushes.

How deep the routing goes

Lead Router has more ways to route. It picks a rep by round robin, weighted round robin or rules, and stops sending leads to a rep at capacity. Each lead through its Route Lead step uses 5 tasks: about 25,000 for a 5,000-row file, by our estimate.

Operelio's round robin shares each file's rows between the reps you name, starting from the top of your list on each run. There are no weights, caps or availability rules.

Where Zapier is better

  • Live sources

Forms, ad platforms and thousands of other apps can send each lead to Zapier the moment it arrives.
  • Lead routing

Lead Router routes leads by round robin or by weight, with rules and rep capacity.
  • Apps beyond the CRM

One Zap can post to Slack, add to an email tool and update a sheet.

Questions

Can Zapier import a big CSV into my CRM?

Yes, within limits. Files by Zapier takes a CSV of up to 4 MB and 60,000 rows, one file every 30 minutes. Each row runs as its own Zap, so a 5,000-row file with one CRM action per row uses at least 5,000 tasks, by our estimate.

Can Operelio run on a schedule?

Yes. A trail runs when a file lands, on a schedule (every day, on weekdays, once a week or every 6, 8 or 12 hours) or both, at a set hour in the trail's own time zone. A schedule picks up new files only. Live trails start on Starter.

Can Operelio route leads to reps?

Yes, on Starter and up. A trail can set the owner of each contact or company as it pushes: one rep, a column of rep emails or round robin, which shares each file's rows in turn.

Is Operelio a Zapier alternative?

Yes, for leads from any source that come as files or exports. A trail takes each file by upload, email-in or API, cleans, verifies and filters it, checks your CRM and pushes it in one run. For leads that arrive live from forms and ads, Zapier connects to the source.
