Operelio or OpenRefine: which to choose

Choose Operelio if

  • You want to keep only the people you sell to, filtered by job function, seniority, industry or company size.
  • Addresses are missing or bounce, and the Finder should rebuild them from patterns in your own file (Starter and up).
  • Clean lists should go into your CRM, updating the records they match and filling only blank fields by default (Starter and up).

Choose OpenRefine if

  • Your data must be cleaned on your own machine, with open source software that costs nothing.
  • You have spelling variants to fix and want clustering that suggests merges and changes only the ones you approve.
  • You want to match values to outside datasets through reconciliation services, or pull extra data from web APIs.

How Operelio and OpenRefine differ

  1. Built for messy values, or for lead lists

OpenRefine is built for messy values: facets to find problems, clustering to merge spelling variants and expressions for custom transforms, with infinite undo. It suits analysts who want to see and shape every value.

Operelio is built for lead and contact lists. Its filters keep only the job functions, seniorities, industries or company sizes you sell to. Health Check scores the file and applies fixes such as phone formats and country values.

  2. Email format checks versus mailbox verification

OpenRefine's docs check email format with a regular expression in the text filter. We found no domain or mailbox checks.

On Starter and up, Operelio's email verification checks whether the mailbox can receive mail, at one credit per address checked. The Finder rebuilds missing or bouncing addresses from patterns in your own file. Each new address the Finder checks costs one more credit. Blanks, malformed addresses and dead domains are free.

  3. Exporting files, or pushing to the CRM

OpenRefine ends at a file, a SQL export, a Google Sheet or a Wikidata edit. We found no CRM in its export list.

Operelio pushes to the CRM and matches people by email address and companies by website or name, so a match updates the existing record instead of adding a second one. It fills blank fields by default and never merges or deletes CRM records.

  4. Repeating the cleanup on each new file

OpenRefine can replay a saved operation history on a new project. Unattended runs rely on third-party clients the OpenRefine team does not maintain, and steps such as clustering need a person.

An Operelio trail (Starter and up) takes files by upload, email-in or API (Pro and up) and runs on arrival or on a schedule. A new trail holds each push for your approval; you can let clean runs push on their own.

Where OpenRefine is better

  • Free and local

Free, open source software that cleans data on your own machine, with no plans or credits to buy.
  • Clustering messy values

Six key-collision and two nearest-neighbor methods group spelling variants, and only the merges you approve change your data.
  • Undo and replay

Infinite undo rewinds to any earlier state, and the operation history can be replayed on a new version of the data.

Frequently asked questions

Is OpenRefine free?

Yes. OpenRefine is free, open source software under the BSD 3-clause license. We found no paid plans or credits; the project accepts donations.

Does OpenRefine verify email addresses?

Not that we found. Its docs show a regular expression in the text filter that lists well-formed addresses; inverting it shows blank or invalid ones. We found no domain or mailbox checks.

Does OpenRefine work with HubSpot or Salesforce?

We found no HubSpot, Salesforce or Pipedrive connector. OpenRefine exports CSV and Excel files, SQL statements and Google Sheets. It can also create or update statements on Wikidata.

Can Operelio do what OpenRefine does?

Partly. Operelio removes duplicate rows, finds and replaces with regex and has column tools. It has no clustering of spelling variants for you to approve, no expression language and no reconciliation. It runs as a hosted service, not on your computer.

Is Operelio an OpenRefine alternative?

Yes, for lead lists headed to a CRM. 15 of 17 tools are free, and Starter is $39 a month billed monthly. For cleaning messy values on your own computer at no cost, OpenRefine is a strong pick.
